Within the Applicant File, you can send and review messages sent to/from the applicant or messages sent to/from other users of your hiring system.
1. Click Messages in the Applicant File. The number next to the “Messages” heading tells you how many new messages are available.
2. In the Applicant Messages section, any existing messages display at the top of the list in descending order. The name of the person sending the message, and the date/time on which it was sent display in bold text. The content of the message displays below. To send the applicant a message:
- Type your message in the space provided. You can use the formatting tools available at the top (Bold, Italic, Underline, Numbered List, Bulleted List) and the Spell Check tool.
- To include a document or other file with your message, click Choose File. Select the file and click Open to attach it to the message.
- Click Send Message when done.
- To view messages sent between users of your hiring system, click “Internal Messages.” The Internal Messages are created the same way as Applicant Messages; however, you must select the internal users to whom you want to send the message. Click the “Selected Recipient” link to see the user list. Select the user or users to whom you want to send the message and click “Save.” You can search for a specific user by starting to type his or her name in the “Search Users” box.
To view messages sent between users of your hiring system, click Internal Messages. The Internal Messages are created the same way as Applicant Messages; however, you must select the internal users to whom you want to send the message. Click the Selected Recipient link to see the user list. Select the user or users to whom you want to send the message and click Save. You can search for a specific user by starting to type his or her name in the Search Users box.
At any time, you can click the Forward File button to send the Applicant File to another user for review/and or processing. See the previous steps on sending an Internal Message for more information.
Note: The message section is populated with the standard text defined by your email templates and you can change the text as needed.
